I. Background & Rationale The ILO’s Responsible Electronics Initiative is implementing a multi-component programme on compliance and responsible labour practice benefiting electronics suppliers. The programme will entail a registration process and a launch event expectedly taking place at the end of the second quarter of 2026. To ensure the programme is visible to the public, through which interests to it will be captured and prospective registrants will be attracted and fully informed, several promotional and communication materials are to be produced for circulation and reference. The ILO is, thus, seeking to engage a national service provider in the designing and printing of these materials for the said scope of activity. II. Scope of work and detail tasks The selected service provider will work closely with the Project team to provide required services, i.e. design, printing and delivery, for a number of materials, including: (i) Standees with the programme theme (ii) Project factsheets, with content provided by the Project team (iii) Notebooks with lines (iv) Brochures for The Compliance Edge Lab Programme, with content provided by the Project team (v) Programme leaflets, with content provided by the Project team (vi) Paper gift boxes from rigid board/grayboard or textured papers, with removable lid and cushion foam for shockproof purpose. (vii) Training programme leaflets, with content provided by the Project team. (viii) Folders, incorporating the branding kit and messages provided by the Project. The selected supplier shall follow the ILO branding regulations at Brand Hub - Guidelines (ilo.org) and guidance from ILO CO-Hanoi. III. Expected deliverables and timelines The following output products will be developed and produced in proper standards, and eventually delivered in good quality for readiness to use: (i) 02 Standees, sizing 80*180, with X-stand, 4 colours and PP printing on photo paper. (ii) Project factsheet, A4-sized, 2-sided offset printing, 4 colours, 120gsm. Kindly provide two pricing options: one for 100 project factsheet and another for 200 project factsheets. We will select one of these options based on budget availability. (iii) Notebooks, sizing B6, with lines, vertical and spiral bound, 35 sheets (70 pages). Kindly provide two pricing options: one for 200 notebooks and another for 300 notebooks. We will select one of these options based on budget availability. (iv) 150 Brochures for factory programme, size 20*28cm, 4 colours, gatefold/accordion, on 160gsm paper. (vi) 150 Factory programme leaflets, A4-sized, 2-sided offset printing, 4 colours, 120gsm. (vii) 160 Gift boxes sizing ~220×100×50mm internal, from rigid board/grayboard or textured papers, with removable lid and cushion foam inserted, 4 colours. (vii) 350 Training programme leaflets in 6 themes, A4-sized, 2-sided offset printing, 4 colours, 120gsm. (viii) 300 Paper folders, sizing 23*32cm, square binding with flat spine at 5mm, 4 colours, on Briston 350gsm. The contract is expected to begin on 20 April 2026 and conclude on 20 May 2026. Delivery is expected to be completed by 20 May 2026 to The ILO Country Office for Viet Nam at 304 Kim Ma, Ngoc Ha Ward, Ha Noi. IV. Payment terms The payment up to 100% of the contract value shall be made in a single payment upon completion of the required tasks and submission of relevant outputs, a delivery notes and an invoice to the satisfaction of the ILO. V. Application Interested service providers are encouraged to send their applications to conduct the assignment. Application packages, preferred in the English language, should include: A quotation with details on expected qualification of the promotional product, unit price, total costs and relevant taxes. VI. Selection criteria The selection process will take into account the following aspect: (i) value for money, (ii) delivery schedule/leadtime, and (iii) flexibility in payment terms. In addition, familiary with the UN and prior experience in working with the UN is an asset, in which past performance in similar contracts will also be considered.
