I. Background & Rationale The International Labour Organization (ILO) is implementing an initiative focusing on promoting responsible business practices in the electronics sector in Viet Nam. The initiative aims to accelerate progress and better respond to the evolving needs of the industry, ILO constituents, and enterprises, while fostering decent work and productivity within Viet Nam’s rapidly expanding electronics industry. As part of the implementation, a wide range of activities involve engaging with public audiences, including awareness-raising campaigns, stakeholder events, and dissemination of knowledge products. These activities require the development of high-quality promotional materials to effectively convey key messages, enhance visibility, and ensure consistent branding of the initiative. Thus, the ILO seeks to engage a qualified supplier to provide professional production services for these materials. II. Scope of work and specific tasks The selected service provider will be responsible for producing and delivering creative and high-quality products across various formats, ensuring that all materials align with ILO communication standards and effectively reach target audiences. To that end, the supplier will work closely with the Project team to provide required service, i.e. design, printing and delivery, for a number of materials, including: (i) Smart collapsible silicon cups, imprinted branding kit as advised by the Project team (ii) Short ceramic mugs, with logos and brands imprinted as agreed with the Project team (iii) Ballpoint pens, in plastic, with logos and brands imprinted as agreed with the Project team (iv) Canvas tote bag with button, 34 x 38 cm, with two-sided logo printing in two colours; fabric weight: 350 g/m² (v) Collarless T-shirts, in cotton, multiple colour printing (vi) Wireless Portable Powerbanks, 10000mAH (vii) Paper gift boxes for item (vi), in rigid board paper The selected supplier shall follow the ILO branding regulations at Brand Hub - Guidelines (ilo.org) and guidance from ILO CO-Hanoi. III. Expected deliverables and timelines Output - The following products will be produced in proper standards and delivered in good condition and quality for readiness to use: (i) Smart collapsible silicon cups, imprinted branding kit as advised by the Project team. Kindly provide two pricing options: one for 100 silicon cups and another for 200 silicon cups. We will select one of these options based on budget availability. (ii) Short ceramic mugs, with logos and brands imprinted as agreed with the Project team. Kindly provide two pricing options: one for 100 ceramic cups and another for 200 ceramic cups. We will select one of these options based on budget availability. (iii) 300 Ballpoint pens, in plastic, with logos and brands imprinted as agreed with the Project team. (iv) 300 Canvas tote bag with button, 34 x 38 cm, with two-sided logo printing in two colors; fabric weight: 350 g/m. (v) Collarless T-shirts, in cotton, multiple colour printing. Kindly provide two pricing options: one for 150-200 T-shirts and another for 200-300 T-shirts. We will select one of these options based on budget availability. (vi) 50 Wireless Portable Powerbanks, 6000mAH. (vii) 50 Paper gift boxes for item (vi), in rigid board paper. Please find attached the TOR & Quotation template for the required detail specification of each item. The contract is expected to begin on 27 April 2026 and conclude on 25 May 2026. Delivery is expected to be completed by 25 May 2026 to The ILO Country Office for Viet Nam at 304 Kim Ma, Ngoc Ha Ward, Ha Noi. IV. Payment terms The payment up to 100% of the contract value shall be made in a single payment upon completion of the required tasks and submission of relevant outputs, a delivery notes and an invoice to the satisfaction of the ILO. V. Application Interested service providers are encouraged to send their applications to conduct the assignment. Application packages, preferred in the English language, should include: A quotation with details on expected qualification of the promotional product, unit price, total costs and relevant taxes. VI. Selection criteria The selection process will take into account the following aspect: (i) value for money, (ii) delivery schedule/leadtime, and (iii) flexibility in payment terms, and (iv) familiary with and prior experience in working with the UN and the ILO in Viet Nam, in which past performance in similar contracts will also be considered.
