The purpose of this Request for Information (RFI) is to gather information from the potential vendors on qualified vendors to provide hotel services for AI Conference 2025-2030 at Macau, China, approximately 400 participants. UNU-Macau intends to hold the AI Conference annually, with the date for 2025 provisionally scheduled for the afternoon of 23 October 2025 and all day on 24 October 2025. This RFI is issued solely for information and planning purposes. It should not be considered an official procurement procedure in any shape or form and will not in any way bind the UN. It should also be noted that, at this stage, the UN is simply seeking to be well-informed of potential design, installation, and maintenance services as broadly as possible. This RFI does not commit the UN to pay any cost incurred in the preparation or submission of any response to the RFI. You are kindly requested to review the overview of specific requirements on the following page and to provide information as to whether your company could potentially fulfill the requirements. Specific Requirements: 1.Room Accommodation: ・The number of rooms should be sufficient to accommodate the meeting participants and other delegates ・Ability to provide a variety of room types, including single rooms, double rooms, and triple rooms ・Shall have discount rates available ・Shall include breakfast 2.Venue: ・1 Ball room that can accommodate between 400-500 pax at one time ・6 Breakout rooms that can accommodate between 50-60 pax at one time (ball room is also acceptable) ・1 media room/VIP room ・All rooms should be equipped with projector and screen, standard audio-visual system and wireless microphones, event signage and reception table set-up, Wi-Fi internet access and meeting amenities including writing pads, pens, mints, and bottled water. 3.Catering services The catering services shall meet the following minimum requirements: ・Provision of high-quality catering services, ensuring that meeting packages are provided and arranged in a timely manner and as required ・Food should meet the required quality in terms of taste, temperature, appearance, etc., and offer a variety of dietary choices, such as vegetarian and halal food. Additionally, the food signs should indicate special dietary requirements and potential allergens ・The vendor shall supply bottled still water for drinking at the premises of the catering service inside and outside the meeting room and during meals ・The vendor supplier shall try to exclude plastic and other ecologically adverse materials throughout the event ・The catering sessions with the venue service are provided in accordance with the programme timelines. The catering sessions shoulde include: ・Welcome coffee and tea The welcome coffee and tea will be served at the event room foyer area beforehand. The objective of this welcome coffee and tea is to allow the event participants (approximately 400 participants) to exchange and network among themselves before the start of the event. Minimum content for welcome coffee and tea menu: coffee, tea, milk, sugar, distilled water, juice, bakery or cake, selection of biscuits ・Lunch A buffet lunch will be served in the event venue. The menu shall include starters, soup, main course, bakery, dessert, coffee, tea, juices and distilled water. ・Coffee break Coffee break will be served at the event room foyer area beforehand. Minimum content for coffee breaks menu: coffee, tea, milk, sugar, distilled water, juice, bakery or cake, selection of biscuits
