Planning and Coordination:o Schedule and conduct preparatory site visits to:§ Evaluate venue-specific needs (e.g., lighting, sound system).§ Coordinate with UNDP-designated staff, photographers, videographers and other stakeholders as necessaryo Develop and submit a comprehensive event management plan for both events with clearly defined milestones for setup, testing, and execution.o Communicate consistently with UNDP to ensure alignment on deliverables, branding and logistics.2. Materials Preparation:o Provide samples of all print and digital materials for UNDP approval.o Arrange for the production of branded materials, including:§ Reports, brochures, and contact cards§ QR code cards with stands§ Totems, screens and signage3. Equipment Testing:o Conduct full technical rehearsals, including sound, lighting and live-stream systems.o Test interpretation booths, microphones and other audio-visual equipment to ensure perfect functionality during the events.Event SetupIn collaboration with designated UNDP staff:1. Venue Setup (lobby, 2nd and 3rd Floors of the RSCA building):o Arrange seating for panelists, attendees and VIPs.o Install stage equipment, including:§ Podium, display screens and lighting.§ Background screens for visual presentations.o Set up lobby areas with registration desks and digital advertising displays.o Prepare a dedicated space for the Jebena Bunna ceremony, including hostess arrangements.
