Hotel for accommodation and regional conference for the ILO Combating Human Trafficking in Egypt Project on Best Practices for National Referral Mechanism, Domestic Workers' Protection, and National Assistance Funds for Victims of Trafficking. Location: Cairo, Egypt Date: February 2025 Introduction: Under the Framework of the combating human trafficking in Egypt project and at the request of the Egyptian Government (Ministry for Foreign Affairs - National Coordinating Committee for Combating and Preventing Illegal Migration and Trafficking in Persons (NCCPIM&TIP) jointly with the ILO, plan to conduct a regional conference to support the Egyptian government to enhance their National Referral Mechanism (NRM), National Assistance Fund for Victims of Trafficking and Domestic Workers’ (DWs) protection through getting exposed to best practices from the region. The conference will serve as a platform for the Government of Egypt to exchange experiences and best practices on the NRM, DWs, and the National Assistance Fund for VoTs that will contribute to international efforts in combating human trafficking. The regional conference will take place in Cairo, Egypt for 3 days (excluding travel time) in February 2025. The objective of the service provider ILO Cairo Office is seeking to select a UNDSS 5 or 4 stars approved hotel to accommodate a 3-day regional conference in Cairo under the Combating Human Trafficking in Egypt project. In light of the above, the following is the service requested: 1. Hotel rooms: - Unit cost for accommodation in single rooms on an HB board basis for foreign government officials & foreign ILO experts. o 28 single rooms HB basis with internet access (Check-in: 10 February - Check out 14 February) or (Check-in: 17 February – Check out: 21 February) or (Check-in 24 – Check out: 28 February). Please provide offers for the three different dates. 2. Events halls - Providing 3 event halls in the hotel 1 main hall (70-80 Pax) and 2 breakout halls (20-25 Pax) with internet access and suitable for the regional conference with all halls capacity of at least double the expected attendees. Please provide offers for the three different dates below. o Halls from 11-13 February 2025 or o Halls from 18-20 February 2025 Halls from 25-27 February 2025 Please note that the number of participants is tentative to change, payment will be made based on the actual number of participants. Please note that the halls will need to comofortably accommodate the Interpretation System setup which will be handled by a company - Organizing two comprehensive coffee breaks and lunch per day during workshops, along with ongoing tea, water, and coffee services. Please provide offers for coffee breaks and lunch for the three different dates. o 55-60 PAX per day Please note that the number of participants is tentative to change, an invoice will be paid based on the actual number of participants. Please note that the number of participants on the first and last day may increase. - finalize menu selections three days prior to the event. - 10 Round tables set up with at least one meter of distancing between the chairs in the main hall, 5 round tables in the breakout halls. - A meeting room is required to be wide with good lighting and AC. - A stage is needed in the main hall. - 2 smaller stages needed in the break-out halls. - 4-5 individual couches set up on the stage in each hall for each speaker. - 10 daily parking tickets/ indicate ticket price in case needed to be added to the PO Participants - Participants in each training day are estimated to be 55-60 participants. - Please note that the number of participants is still upon final confirmation 3. Others: - Coordination with the venue on the set-up and equipment-related matters, including but not limited to, installation of sound system including mic, laptop, data show, and screen for data show, this will be handled by a sub-company, details will be shared later - Ensuring venue safety and food quality to the satisfaction of the ILO.
