Scope of Services The United Nations World Food Programme (WFP) Sudan invites expressions of interest from qualified and registered service providers for the provision of comprehensive Warehouse Management Services across various locations in the country, including but not limited to the Darfur region. Service providers must demonstrate the capacity and experience to manage warehouse operations with a focus on efficiency, safety, and quality assurance. The selected service provider will be responsible for the effective management of warehouse activities, including but not limited to the following key areas: Storage Facility Management: Ensure the proper maintenance, organization, and utilization of storage space to support optimal inventory control and access. Cargo Handling: Perform timely and safe loading, unloading, stacking, and relocation of goods in accordance with WFP guidelines. Quality and Quantity Control: Provide qualified personnel to conduct regular inspections, surveys, and verification of commodities received, stored, or dispatched. Monitor and evaluate the performance of WFP-contracted pest control service providers, ensuring compliance with service standards, and submit comprehensive monthly reports detailing findings and recommendations. Reconditioning and Re-bagging: Manage the re-bagging and reconditioning of damaged or loose food commodities to maintain quality and minimize loss. Cleaning and Waste Disposal: Implement regular cleaning schedules and responsible waste management practices to ensure hygienic and compliant warehouse environments. Staffing and Workforce Management: Recruit, train, and manage an adequate workforce to support warehouse operations, ensuring compliance with safety and operational standards. Warehouse Security: Provide appropriate security measures, including personnel and surveillance systems (e.g., CCTV cameras), to safeguard stored goods and facilities. Wherever feasible, grant the WFP local security unit access to the surveillance camera system. The service must be available 24/7, including holidays, ensuring continuous operations without interruption. Below are the minimum requirements: A letter showing company’s interest. Company’s profile (background), including contact details (e-mail, website, address/physical location, telephone, fax numbers). Copies of the company’s business registration certificate and valid licences from relevant regulating authorities to provide the service in Sudan. Bank certificate, and back statements. Copy of the company’s VAT Registration Certificate/Identification Number. Bank account details and Audited Financial Statement of the company for 2023 and 2024. At least two references of major clients. List of current and past contracts for similar services with other organizations Interested service providers must meet all relevant legal, technical, and operational requirements to be considered for this engagement.
