The United Nations is seeking qualified suppliers to produce and deliver a set of premium branded materials for an upcoming high-level event (SSTRC CONVENTION) that will take place at KCC. The tender covers the printing and production of: (1) Premium tri-fold brochures; (2) A4 concept note and programme booklets; (3) Branded reusable fabric tote bags; (4) A5 premium hard-cover notebooks; (5) Branded writing pens; and (6) A4 paper presentation folders. All items must meet the detailed specifications listed below, with strict attention to premium print quality, durable material selection, accurate color reproduction, and alignment with event branding guidelines. Suppliers must be capable of high-resolution printing, precise finishing, and timely delivery. Detailed Specifications Brochures – Premium tri-fold brochure (Qty: 365) • Size: A4 (210 × 297 mm), tri-fold; finished size ~210 × 99 mm • Paper: 170–200 gsm premium coated art paper (inner + outer) • Printing: Full color (CMYK), high-resolution, both sides • Finish: Matt lamination on outside panels; clean folding with no cracking • Design: Content/layout provided by client; supplier ensures proofing & color calibration • Branding: Up to 4 logos (event + partners), placement confirmed at proof stage Concept Note + Program – Premium booklet (Qty: 300) • Size: A4 (210 × 297 mm) • Pages: 8–12 pages (including cover; final count to be confirmed) • Paper: – Cover: 250–300 gsm coated art card, matt laminated outside – Inside pages: 120–150 gsm premium uncoated or silk paper • Printing: Full color (CMYK) throughout • Binding: Saddle-stitched (2 staples) with square fold or similar neat finish • Branding: Up to 4 logos on cover (front/back), aligned with event visual identity Branded Fabric Material Bag – Premium reusable tote bag (Qty: 300) • Material: Heavy-duty cotton canvas or equivalent, min. 10–12 oz (≈280–340 gsm) • Size: Approx. 38 × 42 cm; gusset 8–10 cm • Handles: Long shoulder handles (min. 60 cm), reinforced stitching • Color: To match event branding (natural/black/dark blue); final Pantone/CMYK to be agreed • Printing: – Full-color or up to 3 spot-color screen print (one or both sides) – High-durability ink suitable for frequent washing/use • Branding: Up to 4 logos + event tagline as per approved design Branded Notebook A5 – Premium hard-cover notebook (Qty: 300) • Size: A5 (148 × 210 mm) • Cover: – High-quality hard cover (PU leather or premium textured finish) – Optional debossing or foil stamping of main logo • Pages: 100–120 sheets (200–240 pages) • Paper: 80–90 gsm ivory or off-white wood-free paper • Layout: Ruled pages with date line or simple header • Extras: Ribbon bookmark, elastic closure band, back pocket (when feasible) • Branding: – Exterior: main logo front; partner logos back – Interior: first page in full color with event info + up to 4 logos Branded Pen – Premium writing pen (Qty: 300) • Body: Metal or high-quality soft-touch barrel • Ink: Blue; smooth writing; medium point (0.7–1.0 mm) • Mechanism: Click or twist; durable long-term mechanism • Branding: – Laser engraving or high-quality pad print of main logo – Event acronym/tagline on reverse where space allows Paper Folder A4 – Premium presentation folder (Qty: 300) • Size: Fits A4 documents (≈220 × 310 mm closed) • Material: 300–350 gsm coated art card • Printing: Full color (CMYK) inside and outside • Finish: Matt lamination outside; optional spot UV on main logo/title • Features: – Two interior flaps with business-card slit – Capacity for 15–20 sheets of 80 gsm paper • Branding: Event title + main logo on front; up to 4 partner logos on back/inside flapsInterested suppliers must submit their offer directly in the system as instructed in the solicitation document, following the instructions in the available user guide. In case you have never registered before, you can register a profile using the registration link shared via the procurement notice and following the instructions in guides available in the UNDP website: https://www.undp.org/procurement/business/resources-for-bidders. Do not create a new profile if you already have one.
